The format of an accession is a control record. That’s what it does. It may be used to manage and maintain a library, for example. In a book service, this record may be used to store information about individual volumes — whether they are borrowed, overdue, withdrawn, or not. In a library this control can be used to track the acquisition of books, pamphlets, periodicals, and, in general, material of all sorts — and describe it in an efficient way.
In ALMA, we use the MARC library inventory format. As both Beth and I learned years ago, this format is very logical, with a structure that is easy to use and understand. As we’ve been expanding upon this format over the years, we’ve been incorporating new terminology and building terminology to explain the various aspects of finding and managing materials.
In the MARC library inventory format, records are grouped together (which is why the library inventory is also called a record series). Each group of records is a “series,” and the records within a series are “books,” “periodicals,” and so on. A series group is called an “accession.”
One “accession group” is one collection, or a “group of collections.” One “group of collections” is called a “record series.” One record series is called an “accession.” It is easy to maintain a record series in the format.
The first column in the accession record below is the accession number. Accessions were entered in the Alma Portfolio Loader via the browser-based online interface (the web) rather than by a direct data entry. d2c66b5586
